A National FA Community Charter Club

Minutes of a meeting of Hethersett Athletic Football Club held at Park Farm Hotel on Monday 13th June, 2005

1 Apologies

Apologies were received from Tom Parke, Mark Kerr and Nick Tarrant

2/ Minutes of the Previous Meeting

Agreed as a true record

3/ Matters Arising

None

4/ Secretary's Report

Mel explained that Football in the Community is setting up a much stronger centre of excellence which could have repercussions for clubs with girls and women's teams in that players put forward for the schools of excellence would have little opportunity to play for their clubs.

It was agreed to renew our membership of the Norwich City associate group membership scheme for £20.

Mel reported on the latest insurance position regarding Lee Barrett.

Congratulations were expressed to Sue Milne on her election to the executive committee of Norfolk FA. Sue has been elected to the youth and development committee, the sanctions and rules revision committee and the women's football development committee and also for disciplinary hearings when required.

5/ Treasurer's Report

The latest balance sheets were distributed and particular reference was made to the income and expenditure of the annual presentation evening. Teams were urged to begin the planning of their budgets for next season with a discussion of these at the next meeting. Budget figures to be returned to the treasurer by 10th July.

6/ Annual presentation evening

Ray reported on the evening and the problems running up to the event which included computer crashes, screens costing more than anticipated and the PA system being incompatible.

There was a feeling that the club is now too big to hold one presentation evening covering all ages and an organising committee was set-up to look at the event with the idea of possibly splitting it into two at separate venues. The committee will comprise Vickie Potter, Sue Milne, Ray Milne and David Manington.

Ray distributed discs containing photos of the evening and it was agreed that a letter of thanks and gift voucher should be sent to the photographer as a small token of appreciation.

7/ Land Availability at the back of David James' Cars

Richard Gamble outlined negotiations he had been involved in with regard to a piece of land. The club had placed a bid which had not been successful, but the landowner is now aware of the club's interest in a site and this could pay dividends in the future. The particular land in question brought with it a number of problems such as access and planning.

Ray Milne stated that South Norfolk District Council and Norfolk FA have shown great interest in supporting any attempts to buy land. Richard agreed to stay in contact with the landowner involved.

8/ Update on Easton Partnership

The chair read the latest letter from Easton accepting that their previous offer of a partnership was poor and calling for a further meeting between the two bodies. This he will arrange with the college.

9/ Team Updates and Season 2005/2006, Pitches and Kit

Mel outlined the details of the various league agms and stated that all our applications had been successful for next season. This included the women's team being accepted into the East Anglian League.

Under-11 girls will be allowed to play in the Norfolk Youth Combination Under-11s League next season.

Mel Perkins expressed his concern at the possibility of youngsters burning themselves out by training throughout the summer and then playing all winter. It was left to individual teams to take this into consideration where necessary. The chairman urged teams not to penalise youngsters who could not attend training sessions during the summer due to their involvement in other sports or activities.

Mel stated that Old Hall School have offered us a very good deal of £35 a day for matches on both the morning and afternoon. There was a long discussion on which teams should play at which time and it was agreed by 12 votes to 2 that times should be allocated according to the seniority of the teams.

Mel has not received an answer to his letter querying a number of matters on the Memorial Playing Field. The work to re-seed the memorial pitches has been carried out, although Mel is still checking the actual cost. The goal stanchions are broken and in need of repair.

10/ Annual General Meeting

This will be held on Monday 18th July at 7.30 p.m at Park Farm Hotel and will be followed by a committee meeting. Secretary to distribute notices of these meetings.

11/ Disciplinary Matters

The club has been fined £20 each on two cases of fines being paid late.

12/ Date and Venue of Next Meeting

AGM as outlined above.
